studio manager/executive assistant

We are looking for a studio manager/executive assistant with relevant experience to join our Architecture firm on a full time basis. The successful candidate will be a proactive, organized, hands-on team member with finely honed administrative skills who will maintain the studio’s environment while handling numerous day to day tasks and responsibilities. Must be well versed in Microsoft Office and Outlook, possess excellent problem solving skills, and the ability to handle rapidly changing schedules and shifting work priorities. 

Key Tasks:

  • answering and direct calls  (voice mail system)
  • front of house interaction with clients and vendors: meet/greet, organize beverages/food for meetings
  • heavy calendar management: meeting coordination, schedule lunches, travel plans
  • maintain the condition of the office and arrange for any necessary improvements
  • maintain all supplies and equipment
  • sorting and distributing mail
  • basic human resources: employee paperwork and insurance
  • supervise updating of press material, press packages, website, social media sites, project presentations, portfolio, exhibition, award and  competition documentation
  • image management: website updating; advertising campaign, logo, business cards, portfolio books (Blurb)
  • liaison to IT management
  • managing filing systems: digital and physical
  • record office expenditure: petty cash, office supplies, bank deposits, liaise with bookkeeper
  • support project managers: administrative, research, documentation

Assistant to Owner:

  • gatekeeper: keep organized, event and travel booking, diary management, help with misc. errands

Software Knowledge a plus:

  •  InDesign
  • Photoshop
